Depending on how you interact with me, I may collect:

WHEN YOU ENQUIRE OR BOOK A CONSULTATION

• Name, email address, phone number
• Preferred training type and location
• Any message or goals you share

WHEN YOU BECOME A CLIENT

• Health information via your PAR-Q (Physical Activity Readiness Questionnaire)
• Details shared during consultations (injuries, medical conditions, goals, lifestyle)
• Progress data (measurements, performance, photos if voluntarily provided)
• Payment details (processed via Stripe , I do not store full card details myself)

IF YOU USE ONLINE COACHING

• Data held within the coaching app, including your programme, progress, and messages
• WhatsApp contact details and message history related to your coaching

WEBSITE USAGE

• Basic analytics via my website host, Netlify (e.g. pages visited, general location, device type). See the Cookies section below

3. Why I Collect It (Legal Basis)

Health information is treated as “special category data” under UK GDPR and is only used to design a safe training programme. It is never used for any other purpose without your explicit consent.

4. How Long I Keep Your Information

• Enquiry details from people who don't go on to become clients: deleted after 12 months.
• Client health and training records: retained for the duration of our working relationship plus 7 years afterward, in line with standard practice for health-adjacent records, then securely deleted.
• Payment records: retained as required by UK tax law (currently 6 years).

5. Who I Share It With

Enquiries sent through this website come directly to me at leighclarepollard96@gmail.com, and I am the only person who reads them. I do not sell or rent your personal information. I may share limited data with:

• Trainerize, the coaching app used to deliver online programming and track progress
• Stripe, to process payments securely
• Netlify, which hosts this website and passes enquiry form submissions to my email

Each of these providers processes data under their own privacy policies and applicable data protection agreements.

6. Your Rights

Under UK GDPR, you have the right to:

• Access the personal data I hold about you
• Request correction of inaccurate data
• Request deletion of your data (“right to be forgotten”), where applicable
• Object to or restrict certain processing
• Request a copy of your data in a portable format
• Withdraw consent at any time (e.g. for health data processing), though this may affect my ability to continue training you safely

To exercise any of these rights, contact me at leighclarepollard96@gmail.com. I will respond within one month, as required by law.

You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk if you believe your data has been mishandled.

7. Cookies

This website is a simple static site and does not set marketing or tracking cookies. My host, Netlify, may process basic technical information such as your general location and device type in order to serve the site securely. You can control cookies at any time through your browser settings.

8. Security

I take reasonable technical and organisational steps to protect your personal information, including using secure, password-protected platforms for client records and relying on reputable third-party providers (app, payment processor, website host) with their own security measures in place.

This policy may be updated from time to time to reflect changes in my practices or legal requirements. The “last updated” date at the top will always reflect the most recent version.
